POWW Membership

The Parents of Welby Way, Inc. (POWW) is a nonprofit 501(c)(3) organization that supports Welby Way Charter Elementary and Gifted-High Ability Magnet. We are currently preparing for the upcoming 2025-2026 school year.

There are up to 16 total Associate Member (Board of Directors) positions. Ten (10) positions are currently open for the 2025-2026 school year. There are also unlimited Volunteer Member positions available.

If you are interested in applying for either level of membership, please complete the application by clicking the button above.

If we receive more Associate Member applications than available seats, a vote will take place. Those not selected will automatically become Volunteer Members.

DEADLINE TO SUBMIT ASSOCIATE MEMBER APPLICATIONS: FRIDAY, MAY 2nd. 

Volunteer Member applications are accepted year-round.

ASSOCIATE MEMBERS (BOARD OF DIRECTORS):

Associate Members:

  • Have voting rights regarding the POWW budget and the programs we financially support (Note: these rights begin with the start of the 2024–2025 school year).

  • Are required to attend all POWW meetings, held at 8:00 AM on the third Tuesday of each month (excluding December and April due to holiday breaks). Meeting dates are listed on the website calendar.

    Missing more than 3 meetings may make you ineligible for Associate Member status the following year.

  • Are required to either chair an event or take on an operations role. See below for more information.

  • Are eligible to hold Executive Board positions (President, Vice President, Secretary, or Treasurer). See below for descriptions.

  • Will be voted in by the current Board of Directors. If more applications are received than available positions, those not selected will automatically become Volunteer Members.

  • Must be a current Welby Way parent at the time of submitting the application.

  • Are asked to attend the May meeting on Tuesday, May 20th at 8:00 AM.

VOLUNTEER MEMBERS:

Volunteer Members:

  • Are encouraged (but not required) to attend POWW meetings.

  • Are encouraged to chair events or participate on committees. See below for more info.

  • Are encouraged to serve as Room Parents.

  • Are welcome to participate in discussions regarding the programs POWW supports and the events we plan throughout the year.

  • May join at any time, including new Welby parents for the 2024–2025 school year.

Executive Board Positions

(must be an Associate Member/BOD)

POWW President / Co-President

This position shall oversee all activities and events at the school. Work with the Board of Directors and Chairs/Committee leads to ensure they have all of the tools needed to make activities and events seamless. Lead monthly POWW meetings. Create and compile each meeting agenda. Work with school administration to communicate details regarding all activities on the calendar from marketing to execution. Create and oversee the budget from year to year with help from the treasurer. Work with executive board to ensure that all rules and regulations as well as bylaws set forth by our non-profit parameters are adhered to with all decisions we make. Work with the school Principal to get all on-campus activities approved in a timely manner. Manage the POWW Website with help from the POWW Website coordinator. Work with incoming families to familiarize them with Welby Way and POWW. And More!

Vice President

Work with the President to support all of the Board of Directors and Chairs/Committee leads to ensure they have all the tools they need to create and execute events.

Treasurer

Oversee all budgetary items. Work with POWW Administration to ensure that all financial items coming in and out of the POWW account are properly accounted for in Quickbooks. Work with President to ensure yearly budget is met appropriately. Give monthly updates to the board on status of accounts. And more!

Secretary

Take minutes at all of the POWW Meetings. Sends out finalized minutes. Supports the president role as needed. Manages the Facebook page for appropriate contact and communications as relative to the BOD. And More!

Operational Roles

(must be an Associate Member/BOD)

AGC Coordinator

Oversee and work with committee to raise funds needed for school programs and activities. Run the AGC program and keep track of all donations made. Oversee the information and materials about the Annual Giving Campaign that is distributed to the school. Must be present at the Back to School Event, Kinder Program over the summer and all beginning of the year school events.

Works to obtain matching opportunities and to collect additional monies via parents at the school who’s places of work have matching programs. Includes follow up and basic computer tracking.

Marketing/Website Coordinator

Run the POWW Website as pertains to updating important information including but not limited to POWW Calendar of events, POWW Blasts and more. 

Social Media Coordinator

Work with the Marketing Coordinator to make sure updates are made on POWW Social Media pages (Facebook & Instagram) as necessary, reposting of connect ed messages and important school info. Monitor page for inappropriate content. 

Spirit Store Coordinator

In charge of online website, and selling spirit wear at school events and assemblies. Includes ordering merchandise and tracking inventory, distributing online orders, collecting payments and working with POWW Administrator to keep track of the money received.

Room Parent Coordinator

Coordinates communication from POWW to Room Parents via the available modes. (Facebook, Instagram, Weekly Bee, POWW blasts and more!) Runs the room parent meeting at the start of the school year. Runs the POWW Website as pertains to updating important information including but not limited to POWW Calendar of events POWW Blasts and more. Coordinate contributors and information included in the monthly online publication.

Sponsorship Coordinator

In charge of the following: Keep a running log of sponsors, what they purchased, how much paid, and to oversee all elements of sponsorship including: website/fitness week logos/flyers, etc. and distribute to chairs accordingly. Contact current sponsors to renew when needed, work with POWW administrator with accounting of sponsorships, and sell more sponsorships via quarterly program updates and reaching out to local businesses. Managing the banners on the perimeter of the school. In charge of arranging and producing restaurant nights and the necessary advertising that accompanies these events including flyers to go out to the school.

LAUSD Paperwork

Work with event chairs to gather required documentation to submit permit and facility leasing requests through the LAUSD online portal.

Event Chairs

Yearbook Committee Chair

Work with our company of choice to coordinate all aspects of the year book. Including taking photos of all school events, POWW Events and Student Council Events. Assembling and arranging all photos that were taken and submitted to put the yearbook together in a timely fashion to be created to distribute at school. Communicate necessary information to the school and student body regarding yearbook purchasing and ad/dedication information. Work with the POWW Executive board to come up with a timeline for assembly of the yearbook.

Fifth Grade Fundraising Chair

Run the POWW Website as pertains to updating important information including but not limited to POWW Calendar of events POWW Blasts and more. Work with the Marketing Director to make sure updates are made on POWW page as necessary, reposting of connect ed messages and important school info. Monitor page and donations made. Connect with POWW admin to check on donation checks and that things are updated appropriately

Restaurant Fundraiser Coordinator

In charge of arranging and producing flyers to go out to the school for these events. 

Family Dance Chair

In charge of a fun themed family dance. Vendor coordination included. Works closely with Silent Auction Chair.

Silent Auction Chair

In charge of silent auction typically hosted at the family dance. Works closely with Family Dance Chair.

Halloween / Trunk or Treat Event Chair

In charge of this Halloween event that includes care decorating and passing out candy as well as candy collection prior. Vendors coordination included.

Fitness Week Chair

In charge of all activities during fitness week. Includes walkathon, coordinating volunteers to come to campus and do presentations during lunch and recess, getting corporate sponsors for t-shirts, and coming up with incentives for the kids and classes to participate in all activities.

Grams Chair

Coordinate the creation of, sale of and assembly of fun themed grams to the school throughout the year.

Staff & Teacher Appreciation Chair

Plan and manage staff and teacher appreciation week which includes coordinating a luncheon, midweek gifts and activities for teachers and staff.

Book Fair Chair

Work with our scholastic representative to execute a book fair at Welby Way. Manage sales and a volunteer team to set up and run event and all things that pertain to this.

Talent Show Chair

A fun filled evening that is proceeded by coordinated auditions and rehearsals leading up to the main event. Chairs produce and orchestrate the auditions as well as the final show and distribute information to the school after timing of the selected days etc. are approved.

POWW Board of Directors Position Description of Duties

As stating in the POWW Bylaws, it shall be the duty of the directors to:

  1. Perform any and all duties imposed on them collectively or individually by law, by the Articles of Incorporation of this corporation, or by these Bylaws;
  2. Appoint and remove, employ and discharge, and, except as otherwise provided in these Bylaws, prescribe the duties and fix the compensation, if any, subject to the provisions of the California Nonprofit Public Benefit Corporation law and any limitations in the Articles of Incorporation and Bylaws relating to compensation, of all agents and employees of the corporation;
  3. Supervise all officers, agents and employees of the corporation to assure that their duties are performed properly;
  4. Meet at such times and places as required by these Bylaws (Board Meetings will take place once a month)

POWW Code of Conduct

Parents of Welby Way, Inc. (POWW) and it’s Associate Members, Board of Directors, Volunteer Members, Committee Chairs, employees, and volunteers must, at all times, comply with all applicable laws and regulations and must adhere to POWW”s Code of Conduct policy.
